Getting Started

From first contact to live orders, here's exactly what the onboarding process looks like.


What you need before your first event

A Mollie account

QuickServe uses Mollie for payments. You'll need a Mollie business account with at least iDEAL and/or card payments enabled. mollie.com

Your menu

A list of products with names, prices, and optionally images and stock levels. This gets entered into the admin panel before the event.

A floor plan or seating layout

Know your spots — table numbers, seat labels, bar zones. Each physical location becomes a spot in QuickServe.

A device for staff

A tablet or laptop for the bar is ideal. The admin panel works on any modern browser — nothing to install.


Onboarding steps

  1. Account setup The QuickServe team creates your client organisation and admin account. You'll receive login credentials for admin.quick-serve.nl.

  2. Configure your Mollie API key In the admin panel settings, enter your Mollie live API key. This connects your Mollie account to QuickServe so payments flow to you directly.

    Warning: Use your live_ API key for real events. The test_ key works for testing but shows a "test payment" banner to customers and doesn't charge real money.

  3. Create your first event Go to Events → Create. Give it a name and save. All your products, spots, and QR codes will live under this event.

  4. Add your products Navigate to Products → Create and add your menu items. Include images for the best customer experience — they're displayed on the order app.

    For items with limited supply (e.g. "50 craft beers"), set a stock count. For unlimited items, leave it blank.

  5. Set up spots Go to Spots and create one entry per physical location — every table, seat, or zone that will have a QR code.

    Name them clearly (e.g. "Table 1", "VIP Booth A") — this is what bartenders see on each order.

  6. Generate and print QR codes Navigate to QR Codes and download the PNG for each spot. Print them, laminate if possible, and place at the corresponding location.

    Tip: Add the spot name visually on the printed card next to the QR code — it helps staff orient quickly before the event.

  7. Test the full flow Before the event, do a full test run:

    1. Scan a QR code on your phone
    2. Place a test order using a Mollie test key
    3. Confirm the order appears on the admin panel
    4. Mark it as complete

    Switch to your live key when the test passes.

  8. Brief your staff Share the admin panel URL and bartender login credentials with your staff. Show them the orders page and how to mark orders complete.

Before the event — checklist

  • Admin account and Mollie key configured
  • All products added with correct prices
  • Spots created matching your physical layout
  • QR codes printed and placed
  • Full test order completed successfully
  • Bartender staff briefed and logged in
  • Stock levels set for any limited-supply products

Note: A typical QuickServe setup takes 1–2 hours for the admin side. The QR code printing and placement is the only physical task that needs time on-site.
