Common Issues

Orders are not appearing

Check your internet connection. The admin panel uses WebSockets for real-time updates — if your connection drops, orders won't show until you reconnect.

Quick fix: Refresh the page. If orders still don't appear, check if the event is selected correctly in the filter.

Customer says payment failed

Payments are handled by Mollie. If a payment fails:

  1. The order is not created — you won't see it on your screen
  2. Ask the customer to try again from the QR code
  3. If it keeps failing, it's likely a bank/card issue on their end

Warning: Never accept cash as a workaround unless your event organizer explicitly allows it. QuickServe tracks orders through payments.

Customer ordered the wrong items

Once paid, orders can't be modified by the customer. Contact your event admin to handle refunds via the Mollie dashboard.

Product shows as unavailable but we have stock

Go to Products, find the item, and update the stock count. It was likely set to 0 accidentally or by a previous order taking the last unit.

QR code doesn't work for customers

  • Make sure the QR code is clearly visible and not damaged

    • The QR code links to a specific spot — if spots were changed after printing, the code may point to a deleted spot
    • Ask the customer to try opening the URL manually in their browser

    Page is loading slowly

  • Close other tabs on your device

    • Switch to a wired connection if possible
    • If on mobile data, check signal strength

Emergency Contacts

If something is seriously wrong (system is down, payments are broken), contact your event organizer or the QuickServe admin immediately.

Note: The system status is available at monitoring.quick-serve.nl — this shows if the API and services are running normally.
